FACCENDA GROUP SIGNS UP FOR TOKAIRO'S TOKOPEN DM AND WORKFLOW SYSTEM

- Enterprise-wide solution provides full integration with existing applications, including Great Plains accounting

- Supplier invoice processing and proof of delivery now live.

- TokOpen selected on basis of system flexibility and strength and Tokairo expertise in manufacturing sector, and invoice and proof of delivery document processing

Brackley, Northants-based Faccenda Group, Britain's second largest poultry processor with an annual turnover of £300 million, has taken Tokairo's TokOpen document management and workflow system. The first phase of the implementation was supplier invoice processing followed by proof of delivery document processing.

TokOpen replaces a former system that lacked the functionality necessary to meet Faccenda's need to run a demanding DM and workflow solution across the group, including five main distribution sites, handling over 75,000 invoices a year. A key requirement - now being delivered by TokOpen - was the ability to integrate tightly with existing Faccenda applications, particularly the group's Microsoft Great Plains accounting system.

Main objectives of the group were to employ the new technology for processing Faccenda supplier invoices and proof of delivery (POD) notice retrieval.

Operationally for Faccenda, this translated to scanning invoices into TokOpen and to link Great Plains to the invoice images, and to scan PODs at site level using low volume desktop scanners with a link to the company's existing warehouse system.

All these criteria are satisfied by the TokOpen solution. The system was selected after evaluation of competitive offerings because of its high level of functionality, rugged environment and flexibility. Also, because of Tokairo's acknowledged expertise and successful track record in the areas of manufacturing, and invoice and proof of delivery document processing and workflow.

Benefits now being achieved by Faccenda following implementation of the first - supplier invoicing - phase include significantly reduced time taken to search, retrieve and view documents, streamlined and more powerful workflow functions, extremely tight and problem-free integration with other legacy systems, and reduced hard copy storage space.

TokOpen is a powerful and comprehensive archiving and document solution that goes far beyond the conventional capture and storage of documents. It centrally manages the flow of documents through a user's organisation, maintaining constant document and user security by controlling who can have access to which documents and files. There is extremely tight control of file and document editing - yet immediate on-line access to those who are authorised - all under a highly disciplined central control regime.

A UK-based company, Tokairo distributes its solutions internationally through a network of resellers. For example, in the US, TokOpen users include the Georgia Bureau of Investigation (handling 4,000 plus fingerprint and arrest records daily), Texas Government (capture and management of over 22 Tb of document data).

Typical TokOpen users include such major organisations as P&O Pensions (pension data full text indexing), Dairy Crest (Over 3 million documents automatically reconciled and workflow processed a year), and TNT (80,000 deliveries a day proof-of-delivery data capture for 48 depots).

Others include Spirax-Sarco (invoicing/accounts payable - integrated with AP), Dixons (handling over a million invoices and related documentation a year), Toshiba (Web based full text search of technical data for dealers), and Birmingham University (10,000 student records).

Tokairo is one of the world's leading document management/workflow solutions developers. With offices in the US and the UK, the company delivers robust and reliable DM solutions through an international network of partners, including manufacturers, specialist software houses and resellers who embed TokOpen into their own product portfolios.
