OPTIMAX
CHOOSES TOKAIRO'S TOKOPEN SYSTEM FOR DM SOLUTION ACROSS THE
ENTERPRISE

Using TokOpen to manage HR documentation, marketing questionnaires,
consent forms and building documentation
Tokairo's
Leading laser eye treatment specialist Optimax - www.optimax.co.uk
- is now implementing the TokOpen document management and
workflow system from Tokairo to provide a DM solution across
the enterprise.
With 15
clinics employing over 250 staff throughout the UK, Optimax
will initially be using TokOpen for clinical administration,
practitioner diary management, human resources, marketing
and estate management.

TokOpen for example, will augment a current paper-based
consent form system. Presently all completed consent
forms are filed both at the treating clinic and
a central storage repository in Newcastle. With
the company conducting an average of 2500 consultations
a month, this represents a high volume of documents.
In future there will be no need to store a paper
copy locally in each clinic as staff will have
access to these documents electronically through
TokOpen at any Optimax locations.

The system will also be used to provide practitioner
records for Doctors and Optometrists, including for
example, medical certificates. This will allow Optimax
to keep these records up-to-date in multiple locations
simultaneously.

In other areas like human resources, , TokOpen
will be used to more effectively manage employee
records including references, Criminal Records
Bureau forms and internal HR documentation.
Other uses for TokOpen will be to store and provide
access to marketing feedback forms based on questionnaires
completed by patients, and to store and manage
building documentation.
